Approved bookkeeping entries sync directly to QuickBooks Online — no copy-paste, no CSV imports, no double entry.
How the integration works
Folio AI connects directly to your QuickBooks Online account via the Intuit API. Once a document is reviewed and approved in Folio AI, the entry is pushed to QBO automatically — categorized, memo-filled, and ready to reconcile.
Your team controls what gets approved. QuickBooks only receives entries your firm has signed off on.
What gets synced
Bills
Standard vendor invoices and receipts push to QuickBooks as Bills with vendor name, amount, due date, memo, and expense category populated from the extracted data.
Vendor Credits
Credit notes and refund documents are pushed as Vendor Credits, correctly linked to the originating vendor and expense account.
Journal Entries
Complex transactions that don't fit the Bill pattern — including FX adjustments and multi-line entries — push as Journal Entries with debit and credit lines properly structured.
Automatic vendor creation
If a vendor extracted by Folio AI doesn't exist in QBO, it is created automatically. Folio AI learns from your existing vendor list to improve matching on future documents.
Auto-learn from QBO corrections
When your team edits a Folio AI entry inside QuickBooks — changing a vendor, category, or amount — Folio AI can read those corrections back and update its extraction model. Over time, the system learns your firm's specific preferences and your clients' vendor patterns, reducing the volume of items that reach the review queue.
